Administrative Assistant – Youth Services — Nassau Library System

We are seeking an organized self-starter to facilitate the efficient operation of our Youth Services
department by performing a variety of clerical and administrative tasks in pursuit of continuous
improvement of our services and continuing education offerings for member library staff.

Primary Responsibilities

● Assists the Youth Services Manager in planning and executing online and in-person meetings,
including setups, agendas, resources, and any necessary information pertaining to the meeting
● Coordinates large-scale events for the Youth Services department
● Aids in the creation of departmental communications including documents, spreadsheets, and
flyers, and maintains and updates online calendars
● Organizes and coordinates mass-mailings and other distributions to member libraries
● Assists in the development and design of promotional materials including website and social
media content, and booklists
● Organizes a collection of pre-publication children’s and young adult books
● Coordinates the lending of specialized tools and equipment to member libraries
● Creates and maintains records of attendance certificates for continuing education sessions for
the Youth Services department and other departments as needed
● Assists with hospitality and event coordination for other departments as needed

Qualifications & Requirements

● At least 2 years experience in an office environment required; Associates degree or higher
preferred
● Proficiency with Microsoft Office suite, Google products; basic design software (e.g. Canva) skills
preferred; Knowledge of WordPress a plus
● Strong communications, time-management and organizational skills
● Ability to plan, coordinate, and execute meetings, including troubleshooting event logistics,
developing agendas, surveys, statistical charts, and other resources for attendees
● Experience in public libraries and/or knowledge of literature for youth a plus
● Strong commitment to excellent customer service and teamwork
● Must possess a valid driver’s license and use of personal auto – mileage is reimbursed
● Able to lift books and boxes weighing up to 25 pounds
● The successful candidate will work out of the NLS service center in Uniondale

Compensation & Benefits

Starting salary $45,570-$49,000 depending on relevant experience and qualifications. Excellent benefits.
NLS is not subject to Civil Service. This position is part of the collective bargaining unit. Professional
involvement encouraged and supported.
